Frequently Asked Questions

Answers

Why would I want to record a meeting?

Meeting content - the informal and formal verbal exchanges in the workplace - constitutes valuable work product. It represents a great investment in resources, and its value can extend beyond the meeting room.

Quindi Meeting CompanionTM software lets you treat meeting content just as you treat other forms of work product, such as email, reports, and contact information. Meetings can now be saved in tangible form, shared, and reused in your organization. [ Back to top ]

What physical meeting situations does Quindi handle?

Quindi Meeting Companion is ideal for small-group meetings, such as typical workgroup meetings. While it is optimal for small-group settings, it can be used for all common meeting types, from one-on-one meetings to large presentations. It is also designed to capture phone calls and web-conferences. [ Back to top ]

Should every meeting be captured?

Meeting capture is a technique that can be applied selectively. Capture only those meetings in which details matter later and comfort levels are high. [ Back to top ]

How do I capture a meeting with Quindi?

Depending on your needs, you can use Quindi Meeting Companion in several different ways. The easiest is what we call “Silent Partner Mode.” You just participate in the meeting and Quindi captures everything automatically, in the background. If you choose to take notes during your meeting, you can use Meeting Companion in “Notetaker Deluxe Mode” and your notes will become a searchable index into the captured meeting. If your meeting involves audio, video, and presentation, you can use Meeting Companion in “Power Tool Mode” to ensure you preserve the entire visual experience of the meeting. [ Back to top ]

If I send a meeting file, how does the recipient view it?

Quindi provides a free viewer that lets anyone play back a meeting file in Quindi (.qmd) format. Simply download and install Meeting Companion from the software download page. A software license key is not necessary to use Meeting Companion as a viewer.

Additionally, Meeting Companion now includes a Save for Web feature that creates a navigable view of the meeting that can be played in a web browser. Users who wish to capture meetings, create or change content afterward, or save content as a web page should purchase the full version of the Meeting Companion software. [ Back to top ]

Does everyone in the meeting need a copy of the Quindi software?

No, it is enough that there be one person who acts as the designated meeting capturer. However if there are additional Quindi users, they can synchronize their captures and combine the files later through the SyncPoint feature. This is convenient if, for example, one person is presenting PowerPoint slides while another is taking notes. [ Back to top ]

Does the Meeting Companion provide real-time screen sharing?

No, Meeting Companion is a tool for documenting meetings in a format that can be easily navigated and added to after the meeting is over. Although it is not a substitute for traditional webconferencing tools, Meeting Companion works seamlessly alongside such tools to provide useful meeting records. Of course, Meeting Companion is useful in face-to-face meetings too. Back to top ]

How big are meeting files?

File sizes can vary greatly but here are some typical figures.

  • 40-50 MB per hour for audio and full-motion video from one camera.
  • 10-12 MB per hour of “storyboard” formatted video. (Storyboard video is an option that reduces the full-motion video to one still image every few seconds.)
  • 8-10 MB per hour for audio data.

Meeting Companion also lets you edit, i.e., clip and remove, portions of your meeting files, further reducing file size. Back to top ]

Do I need special audiovisual equipment to capture meetings?

For most meetings, a laptop PC with an internal or external microphone is sufficient. If the room acoustics are challenging or when higher audio quality is needed, more elaborate microphone configurations may be used, e.g., boundary microphones, lapel mics, wireless mics, or multiple microphones fed into a mixer. Meeting Companion can also capture video from USB video sources, such as a webcam or a streaming-USB DV camera. [ Back to top ]

Can I try Meeting Companion before buying?

Yes, we offer a free 14-day trial.
